Booking and Cancellation Policies

Booking & Cancellation Policies

This document outlines the commercial terms, payment conditions, and cancellation policies applicable to all travel services and tour packages booked through CUSCONOVA TOURS S.R.L.

1. Booking Deposits and Ticket Procurement

To officially confirm any tour package (especially tours involving Machu Picchu, the Sacred Valley, or the Inca Trail), a 50% deposit is strictly required at the time of booking. This deposit is immediately used to purchase official government entry permits, train tickets, and shuttle passes, which are personal, nominative, non-transferable, and non-refundable under Peruvian Ministry of Culture regulations. Therefore, this initial 50% deposit is entirely non-refundable under any circumstances.

2. Final Payment and Balance Options

The remaining 50% balance required to complete 100% of the total tour price must be settled by the client. For your convenience, the remaining 50% balance can be paid on the very same day the tour begins, strictly before the official start of the excursion or boarding. This payment can be processed via credit/debit card or in cash (USD or Peruvian Soles). Failure to clear the remaining balance to complete the full payment before the tour departs will result in the immediate cancellation of the service without any right to a refund of the initial deposit.

3. Cancellation Penalties and No-Show Fees

If the passenger wishes to cancel their confirmed services, the request must be submitted formally in writing via email. The following cancellation fees apply to the remaining balance:

• Cancellations made more than 15 days prior to tour departure: The client will be eligible for a refund of any amount paid beyond the initial 50% non-refundable deposit, minus any payment gateway transaction commissions and administrative fees.
• Cancellations made between 7 and 14 days prior to tour departure: A commercial penalty of 50% of the remaining balance will be applied.
• Cancellations made less than 48 hours prior to tour departure or No-Shows: No refunds of any kind will be granted. The passenger will forfeit 100% of the total tour price due to operational costs already incurred.

4. Itinerary Modifications and Date Changes

Any request to change the date of a tour or modify an itinerary is strictly subject to technical availability from railway companies, local guides, and government ticket availability. Any extra logistical fees or price increases generated by a requested date change must be completely covered by the passenger.
